Business Administrator role

Users with the Business Administrator permission can specify which locations users can record work, what activities they can choose from, and what categories of activities they belong to, as well as set the holidays and extra working days for that year.

Users with the Business Administrator permission can access the administration panel by opening the Settings option in the KRONOS menu.

The left side panel contains the Workplace administration, Activity and Activity category administration and Workday schema administration settings.

Workplace administration

Here the the administrator can specify which locations users can choose from when they want to record travel time on the create worklog screen.

After filling in the Workplace text field you can click Add to register a new work location.

Created locations cannot be deleted, although locations can be archived by clicking on the icon on the right side of each location so they no longer appears to users in the Workplace field.

Activity administration

In the Activity Administration submenu, the administrator can define the activities that users can select on the create worklog screen.

In the Activity free text field, the user can enter the name of the activity and its Hungarian equivalent in the Activity name (HU) field.

Click Add to create the activity.

The description of the created activities remains editable afterwards, altough its name cannot be changed. You can change the text of the description in the pop-up window by double-clicking on the description of the activity.

Activities that have already been created cannot be deleted. The icon on the right side of the rows of created items allows each activity to be archived so that it will no longer be available to users.

Activity category administration

In the Activity category administration, the administrator can create Activity categories. Activity categories can group different activities defined in the Activity administration interface.

Enter the name of the category in the Activity category free text field, then enter a desription or its translationin the Activity category name (HU) field.

You can assign activities previously created in the Activity administration by opening the Activities drop-down field. You can assign more than one activity to a category by checking the mulitple checkboxes in the drop-down list.

Click the Add button to create the Activity category.

The description of the created activity categories and the list of related activities can be edited after creation, while the name of the activity category cannot be changed. By double-clicking on the description of the activity category and the list of activities, the user can edit their values..

Workday schema administration

Here the Business Administrator can set the holidays and extra working days for the given year.

You can create a new workday schema by entering a name in the Workday schema name field and clicking the Add button. The new work schedule will then appear in the list and the Extra Days and Users attributes will be editable.

Use the Edit icon in the Extra Days column to edit holidays and workdays. In the Pop-up window, in the Year field, the administrator must specify which calendar year the work schedule applies to, after that the days for that year will be editable.

In the Day type drop-down box, you can select whether you want to add an extra working day or a holiday to the schedule, then use the date selection field to specify which calendar day it falls on, and finally click Add to record it.

The working or non-working day created in this way is displayed in the corresponding column, depending on its type. Created days cannot be edited later. If you want to change the type or date, you can use the Delete icon to erase it and add a new item instead.

The Business Administrator has the option to define working days and holidays in a given work schedule for several calendar years.

In the Users column of Workday schemas, click the icon in the user selection field of the pop-up window to specify which users the schema applies to.

If you hover the cursor over each schema, you can click the Set as Default link that appears to set the default work schema for all users who are not assigned to another schema.

If there is no work schedule set for the current year, the system defaults weekends (Saturday, Sunday) as holidays and weekdays as working days.
